16 September 2008 MEMORANDUM FOR A.S. SENIOR VP / SENATE

FROM: Ryan Jahrman, Hope North Senator

SUBJECT:

1. Proposal: I am proposing that AS fund a pizza party for the dorm (or Commuter group) which has the highest percentage of people take a yearbook picture. “Dorms” shall be defined as Senator constituencies (e.g. Hope North is separate from Hope South).

A table shall be set up at the end of the process of having a picture taken. It will have a packet of papers for each dorm on which students can write their names and ID numbers on numbered lines. At the end of the week the winner shall be calculated.

The funds shall then be made available to the winning Senator. That Senator shall then be responsible for arranging the purchase of the pizza and other items if desired (such as soda, napkins, etc.), as well as notifying his/her constituents of the date and location of the event.

2. Amount Requested: $400. This is based on the recent AS/SMU event in which pizzas were purchased for $10 each (although the winning Senator by no means has to purchase from the same vendor).

3. Problems with Status Quo: Last year only about 1,200 undergraduates had pictures taken. This substantially reduces the quality and seriousness of the yearbook. Students already spend $70,000+ per year on the yearbook; it makes sense to spend just a little bit more to ensure that it is a success.

4. Miscellaneous: The Biolan staff most likely cannot fund and organize this themselves for a couple reasons. First of all, their budget is much more restricted than ours (for example, they have a contingency of only $1,000). Second, Senators need to be involved in this as they would be the primary means of promoting the event, getting their constituents involved, and organizing the event if they win.

There are secondary benefits to this proposal. It would give Senators an opportunity to unify their dorms with a common purpose, and give them something significant to work with ResLife staff on. Furthermore, for the winning dorm this will essentially function as a dorm event—something which AS typically funds anyway.
